Agile Management in Community Experiences
Successful community events require a balance between rigid planning and the flexibility to respond to real-time feedback. Professional community builders at London Community Week 2025 shared strategies for maintaining this agility through financial planning and innovative feedback loops.
The 11% Contingency Rule
To accommodate the inevitable changes that occur during a live event, speakers suggested setting aside a dedicated contingency budget. "We have an 11% contingency... that's taken out pre-events before we've done any of the planning," one expert noted. This financial buffer allows organizers to pivot on the ground based on immediate attendee needs without administrative delays.
Capturing the 'Unspoken'
While surveys are a staple of event management, the most valuable insights often come from "oral feedback" gathered mid-event. By deploying dedicated volunteers to collate informal comments and observations during the program, organizers can make real-time improvements and capture the true sentiment of the room that structured surveys might miss.
